Position Overview

Ultimate Staffing Services is seeking a dedicated and detail-oriented Scheduler to join a well-established company based in Fremont, California. This position plays a critical role in strategically planning, coordinating, and scheduling daily traffic control jobs and crew assignments for the Bay Area region. The Scheduler will work closely with the Senior Scheduler and the Dispatch Team to ensure that all job orders are accurately scheduled and executed with precision and professionalism.

Responsibilities

  • Answer incoming calls, voicemails, and emails promptly and professionally.
  • Accurately record and input job orders received via phone or email into the dispatch scheduling system.
  • Schedule and dispatch traffic control employees based on experience, job site requirements, location, and employee utilization metrics.
  • Conduct job site assessments to determine job classification and resource requirements.
  • Review traffic control plans and permits to ensure accurate crew deployment.
  • Monitor active job sites; follow up as needed to ensure accuracy and completion.
  • Collaborate with the Inventory Department on job site equipment needs and requirements. Follow up to confirm fulfillment.
  • Collaborate with the Sales Team to ensure a positive customer experience.
  • Communicate specific customer requirements and job site details to traffic control employees to ensure alignment and readiness.
  • Reconcile scheduled job orders daily to maintain accuracy and accountability.
  • Communicate all updates or changes to the dispatch schedule with the broader Dispatch Team.
  • Enforce all company policies, procedures, and safety standards.
  • Ensure all scheduling practices adhere to applicable union contract language.
  • Utilize internal systems and software platforms to manage jobs, track equipment, and streamline scheduling.
  • Review operational reports and metrics to ensure departmental performance meets or exceeds key KPIs.
  • Provide after-hours dispatch coverage on a rotating or assigned basis.
  • Motivate team members and support a positive, performance-driven culture.
  • Perform additional duties as assigned.

Qualifications

  • High school diploma or equivalent required.
  • Minimum 3 years of experience in a dispatch scheduling role or equivalent.
  • Minimum 3 years of experience in traffic control or a closely related industry.
  • Experience interpreting and working with traffic control plans is preferred.
  • ATSSA TCT (Traffic Control Technician), and TCS (Traffic Control Supervisor) certifications are preferred but not required.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint), Telematics platforms, Salesforce, and related scheduling software.
  • Strong organizational, time management, and multitasking skills.
  • Proven problem-solving ability and analytical thinking.
  • Ability to remain calm, pleasant, and customer-focused under pressure.
  • Positive attitude and resilience in the face of challenges or change.
  • Ability to work independently while also collaborating effectively in a team environment.
  • Comfortable working in a fast-paced, high-demand setting.
  • Flexibility to work nights, weekends, and respond to emergency dispatch needs as required.
  • Familiarity with leveraging data and reports to make informed strategic scheduling decisions.
  • Bilingual in English and Spanish is preferred but not required.
  • Valid California Driver's License (CDL) with a clean driving record required.

Required Work Hours

Monday to Friday, 8:00 AM - 5:00 PM

Benefits

The position offers a competitive salary with a pay range of $82,000 to $90,000 per year. A comprehensive benefits package is also available for the right candidate.
